Book it in the conversation.

The empty chair at 3pm gets filled, and the no-show gets a reminder.

Appointment booking turns a service business's calendar into something customers can act on. A service carries a duration, a buffer between bookings and the hours it is offered, which is enough to generate real slots. Reminders matter as much as booking: a confirmed appointment nobody remembers is the same as an empty one.

  • Services with duration, buffer, price and timezone
  • Open slots generated from your rules, minus what is booked
  • Bookings held against the customer's contact record
  • Reminders sent the same way as any other message

How it works.

  1. 01

    Define the service

Give it a name, a duration, a buffer between bookings, an optional price and the timezone it runs in. A location can be attached for multi-site businesses.

  2. 02

    Set the hours

Availability rules generate the open slots. Slots already taken are removed, so what a customer sees is what is genuinely free.

  3. 03

    Take the booking

The booking is stored against the customer's contact record, so the conversation, the history and the appointment sit together.

  4. 04

    Remind before it happens

Reminders for confirmed bookings are queued for the same approval as any other message, and each one fires exactly once.

Services, not just a calendar

A service definition carries the details that decide whether a slot is real: how long it takes, what gap it needs afterwards, and when it is offered.

  • Duration and buffer per service
  • Optional price and currency
  • Timezone per service, and a location where relevant
  • Active and inactive services without deleting history

Slots that reflect reality

Availability is generated from your rules and then reduced by what is already booked, so the same slot cannot go twice.

  • Slots generated across a forward window
  • Booked starts removed from the open set
  • Inactive services produce no slots at all

Reminders that respect the rules

A reminder is an outbound message like any other, so it passes consent, suppression and the conversation window checks before it goes.

  • Queued for bookings starting inside a set window
  • Stamped so each booking is reminded once
  • Sent through the approval and executor path, never directly
  • Recorded in the audit record

Tied to the customer record

A booking belongs to a contact, so the reply agent can answer a question about it and a segment can reach everyone with a visit coming up.

  • Bookings visible with the customer's orders and history
  • Customer events available as segment conditions
  • Follow-up after the appointment through a sequence

What it does not do.

  • There is no public booking page. Slots and bookings live in the workspace and in the conversation.

  • A deposit runs through the payment provider you connect. Otobiz does not hold the money.

  • There is no two way sync with an external calendar.

Common questions

How are open slots calculated?

From the service duration, its buffer and its availability rules, minus the starts that are already booked.

Can I run more than one service?

Yes. Each has its own duration, buffer, price, timezone and active state, and a location can be attached where a business has several.

Are reminders automatic?

Confirmed bookings starting within a set window are queued for a reminder, stamped so each fires once, and sent through the normal approved path.

Do reminders respect opt-outs?

Yes. A reminder is an outbound message and passes the same consent, suppression and conversation window checks as any other.

Can customers book by messaging?

Bookings are held against the contact record, so a conversation is the natural place to arrange one, with your team or automation capturing the details.

Can I take a deposit?

A price is recorded on the service, and a deposit can be taken in the conversation through the payment provider you connect.

What happens if someone cancels?

The slot goes back on offer straight away, so a cancelled appointment does not sit on a time someone else could book.

Does the AI know about a customer's booking?

Yes. A booking sits with the customer's records, so an answer about an upcoming appointment comes from the booking itself.

Can I offer the same service in two locations?

A service carries a location and a timezone, so the same offering can exist per site with its own hours.
