The admin, handled. The clinical part, never.

Bookings, reminders, and paperwork answered while you are with a patient. Anything medical waits for a person.

Clinics, dental practices, diagnostic centres, and physiotherapy providers use business messaging for the administrative half of patient contact: appointment booking and reminders, directions and opening hours, preparation instructions, and document requests. Clinical questions are a different category, and a responsible setup routes them to a qualified person rather than answering them.

What usually goes wrong.

Reception cannot be on the phone and at the desk
Front-desk staff are with a patient when the phone rings. Calls are missed, voicemails go unheard, and the patient books elsewhere.
No-shows are expensive and preventable
A missed appointment costs the slot and the patient. Reminders reduce it, and manual reminders stop the moment the day gets busy.
Sensitive information in an unmanaged inbox
Patient messages arriving on a personal phone, visible to whoever has it, with no record of who saw what, is a problem long before anyone calls it a compliance problem.

What Otobiz does about it.

Administrative questions answered, clinical ones not

Hours, location, parking, preparation instructions, and what to bring are answered from your own documents. Anything that reads as a clinical question is routed to a person with the thread attached, and the draft says why.

  • Answers grounded in your own patient information
  • Sources shown on every draft
  • Uncertain and sensitive topics escalated to a person

Booking and reminders

Publish services with a duration and a buffer, let patients book the slots that are genuinely free, and send one reminder ahead of the appointment on the channel the patient uses.

  • A public booking page with real availability
  • Two customers cannot take the same slot
  • One reminder per booking, tracked so it cannot repeat

Access controlled per staff member

Reception, clinicians, and administrators do not need the same view. Members can be limited to the patients assigned to them, and phone numbers and email addresses can be masked for staff who do not need them.

  • Contact visibility limited per person
  • Personal details masked at the point they are read
  • Export and deletion blocked per person

A record of every message and decision

Every send and every approval is logged with the reviewer and the exact message that went out, and you can read that record at any time. Patient records sit in your workspace alone, where no other practice can reach them.

  • A complete record of what was sent, per workspace
  • Approvals record who decided and what they approved
  • One workspace cannot see another

Preparation instructions sent ahead of time

Fasting instructions, what to bring, and where to arrive can be sent as a timed step before the appointment, so the practice stops repeating them on the phone and patients stop arriving unprepared.

  • Timed steps before an appointment
  • Documents and instructions attached to the message
  • Each step screened for suppression and frequency

Common questions

Will the AI answer medical questions?

It should not, and a responsible configuration routes clinical topics to a qualified person with the thread attached. Otobiz answers administrative questions from your own documents.

Are you HIPAA or GDPR certified?

No. Otobiz holds no certification and displays no badge. What it does have is described plainly: your workspace is yours alone, channel logins are stored encrypted, each person's access can be limited, and every action is logged.

Can we stop staff seeing patient phone numbers?

Yes. Personal details can be masked per person at the point they are read, so a restricted member never receives the raw value.

Do appointment reminders send automatically?

They are prepared automatically and queue for approval. Each booking gets one, tracked so it cannot go twice.

Can patients send documents or images?

WhatsApp and Messenger carry documents and images. Instagram does not carry documents. Consider carefully what you invite patients to send.

Can we delete a patient's data on request?

Yes. A contact can be deleted along with its messages and stored facts, and an entire workspace can be deleted with its data and provider connections.

Where is the data stored?

In one cloud region. You cannot choose which.

Can we send preparation instructions before a procedure?

Yes, as a timed step ahead of the appointment, with the instructions attached. Each step is screened before it sends, and it stops if the appointment is cancelled.

What happens to a message that arrives out of hours?

It is answered if it is routine and you enabled that, and otherwise it waits with a draft already written for whoever opens the inbox first.
