WhatsApp for customer reviews: how to collect them
By Shraddha Agarwal
The short answer: WhatsApp for customer reviews works because the request lands in a chat the customer has with you. Ask once, after the order or visit, with a one-tap rating and your Google review link. Send it to every customer, not only happy ones.
Unhappy answers become support chats, and public reviews get a short reply. The rest of this guide covers timing, wording, Meta's rules and measurement.
When to ask
Ask when the customer has just received what they paid for, while the details are fresh.
| Business | Ask after |
|---|---|
| Online store | The delivery is confirmed |
| Clinic or salon | The appointment is marked done |
| Repair or home service | The job is closed |
| Support chat | The conversation is resolved |
Ask once per order or visit. A second request for the same purchase reads as pressure, and blocks and reports lower your quality rating.
What the request says
A fictional salon request, sent the evening after a visit:
Hi Maryam, thank you for visiting Sawsan Studio today. How was your haircut? Tap a rating below, or tell us in a reply. If you have a minute, you can also review us on Google: (your review link)
| Part | Why |
|---|---|
| The visit or order by name | The customer knows which purchase you mean |
| One question | Answered in one tap or one line |
| A one-tap answer | Reply buttons need no typing |
| Your Google review link | Opens your review form directly |
| Your business name | Shows who is asking |
Google's review help page names WhatsApp as a place to share the link: in your Business Profile, open Read reviews, then Get more reviews, and copy it.
Write and preview the wording with the message builder. Copy-ready template packs for stores, appointments and sales are ready to adapt.
The rules that apply
| Rule | Set by |
|---|---|
| Free-form request only inside the 24-hour window | Meta |
| Outside it, an approved message template | Meta |
| Message first only customers who opted in | Meta |
| No discount, gift or payment for a review | |
| No asking only happy customers, no discouraging bad reviews | |
| No pressure at the counter, no asking for set wording |
Meta's categorization rules list feedback on a previous order or visit as utility. A generic request, or one with an offer in it, is marketing; the categories guide covers the rest.
The Google rules come from its Maps review policy, under fake engagement and rating manipulation. Both pages were read on 7 October 2026.
Rate in the chat, review in public
Collect the rating inside WhatsApp first. A message carries up to three reply buttons, and a WhatsApp Flow holds a rating and a comment on one screen.
Then share the Google link with every customer, whatever they rated. Sending it only after a high score is the selective asking Google's policy bans.
Turn low ratings into support
A low rating is a problem you can still fix in private. Pass it to a person who can act, reply in the same chat and record what was done.
Never argue in the chat, and never ask the customer to change a public review.
Reply to public reviews
| Review | Reply |
|---|---|
| Praise | Thank them for the specific thing they mention |
| A question | Answer it from your published policy |
| A complaint | Apologize briefly, invite them to message you, fix it there |
Google publishes your reply under the review, as the business, once your profile is verified. Its tips ask for short replies, no promotions and never the reviewer's private details.
Measure the loop
| Measure | Read it from |
|---|---|
| Requests sent | Your messaging platform |
| Ratings received and average | The ratings saved against each chat |
| Low ratings resolved | The support chats they opened |
| New Google reviews per month | Your Business Profile |
A public review rarely names the chat it came from, so compare monthly totals before and after you start asking.
Where Otobiz fits
- When your team resolves a chat, Otobiz asks the customer to rate it with three buttons and saves the score against the conversation. Analytics shows the trend.
- A WhatsApp Flow collects a rating and a comment on one screen, and the answers return to the chat.
- With Review Replies, Google reviews arrive in the shared inbox and your team replies from there.
For the counter or the receipt, the WhatsApp link and QR generator makes a code that opens a chat with you.
